📘 Project Scope & Initiation

  • All quotes are based on our understanding of your project’s scope as initially discussed. Any changes to functionality or features may lead to updated timelines and costs.

  • Acceptance of a quote via email, verbal confirmation, or payment signifies agreement to these terms.

  • Clients must clearly outline all requirements and project goals upfront. If not, we will proceed based on our expertise and standard practices.

✍️ Design & Development Workflow

  • Dedicated hours are allocated to each task. Minor revisions are acceptable within scope, but major changes will incur additional costs.

  • Any design revisions requested after approval will be billed separately.

  • Delays in client feedback, asset delivery, or approval may result in timeline extensions and/or additional charges.

⏳ Project Delays & Pausing

  • Projects stalled for over 60 days without written notice will incur an admin fee of $99/week.

  • To officially pause a project, you must notify us in writing and ensure payments are up to date.

🖥️ Compatibility Testing

  • We test websites on modern versions of Chrome, Firefox, Safari, and Microsoft Edge (desktop).

  • Responsive design is tested on current iOS devices (iPhone/iPad).

  • Please specify if additional browser/device testing is required before development begins.

🌐 Hosting, Domains & Server Access

  • Hosting and domain services are not included unless specified.

  • Hosting solutions provided by CodeLeon Tech are secure, reliable, and managed via third-party providers.

  • For third-party hosting, clients must ensure compatibility and grant full access for development and deployment.

🔒 Intellectual Property & CMS Licensing

  • CodeLeon Tech retains full ownership of all proprietary code, backend systems, and CMS platforms unless otherwise agreed.

  • Upon full payment, a non-transferable license may be granted for specific use.

  • Our custom-built CMS is proprietary and cannot be transferred to external servers or hosts.

🔧 Third-Party Services & Integrations

  • Any external tools, platforms, plugins, APIs, or services (e.g., SSL, payment gateways) are billed separately unless stated.

  • We recommend reliable tools, but we are not responsible for limitations, price changes, or policy shifts of third-party services.

📈 Digital Marketing & Strategy Packages

  • Our SEO, digital strategy, and marketing packages require a 6-month minimum commitment.

  • Monthly billing begins on the 1st of each month.

  • Unused hours are not rolled over, and urgent tasks or additional hours are billed separately.

  • Cancellation requires a 30-day email notice post the initial term.

🔁 Maintenance Plans

  • Our maintenance plans run for a minimum of 12 months and are paid monthly.

  • Packages include:

    • Monthly CMS/plugin updates

    • Regular website backups

    • Bug fixes and minor content edits

  • Major updates or redesigns are billed separately at $77/hour (incl. GST).

  • Early termination requires payment for the remaining contract term.

💳 Payment Terms & Refund Policy

  • All pricing is in AUD and includes GST unless otherwise noted.

  • Payment milestones must be respected. Final payment is required before handover or Go-Live.

  • Late payments incur:

    • 10% penalty

    • $5.50 admin fee per month

💸 Refund Policy

  • 75% refund if canceled before work begins.

  • 50% refund if canceled after work starts.

  • No refund after 50% project progress.

  • Cancellations must be made in writing.

🔐 Data Security & Liability

  • We implement industry-standard security measures, but CodeLeon Tech is not liable for breaches due to outdated third-party software, hosting issues, or client-side errors.

  • Clients hosting externally are responsible for their own server environment and backups.

  • All services are provided "as-is" without liability for business loss or disruption.

📬 Communication Policy

  • All communication is to be done via email to maintain transparency and trackability.

  • It’s the client’s responsibility to provide valid and updated contact information.

🌍 Domain & Hosting Responsibilities

  • Hosting is billed annually unless included in a maintenance plan.

  • Hosting or domain expiration due to non-payment may result in permanent data loss.

  • Hosting services not renewed 7 days before expiry may be suspended without notice.

📩 Email Hosting Policy

  • Clients are responsible for managing storage limits, backups, and securing email usage.

  • Email abuse, spamming, or malware distribution will result in immediate account suspension.

🔐 Intellectual Property Usage

  • All creative materials, designs, and code belong to CodeLeon Tech unless a written transfer of rights is made.

  • Clients may not resell or reuse our work for any commercial/non-commercial purpose outside the agreed scope.

  • Use of CodeLeon Tech's name, logo, or assets requires written permission.
